Basic Function:

Provide Mii amo Destination Guests, Enchantment guests and owners with the highest quality of service and spa experience possible. Perform standard functions as a Spa Coordinator and provide additional leadership support for staff and guests by setting the highest example of guest service standards, monitoring Spa Coordinator’s ability to uphold standards daily and following through on guest service recovery situations.

Work Performed:

  • Perform all duties required by Spa Coordinator Staff
  • Set example for consistently upholding standards of service for booking service reservations, checking guests in for treatments, and checking out guests after treatments
  • Monitor standards and provide feedback for Coordinators so that they are consistently upheld
  • Review daily checklist items with Coordinators at the beginning and end of shifts as well as throughout
  • Ensure Detailed Arrival sheet is available and known by all staff members
  • Post and adjust Nuggets as information is gathered concerning guests
  • Troubleshoot issues with Gift Card creation/redemption
  • Set example for suggestive selling and up-sell techniques when scheduling treatments
  • Offer additional explanation of all treatments and classes while communicating to guests and training fellow coordinators
  • Monitor completion of daily assigned checklists and office supplies order
  • Review daily the Consult/Fitness bookings and assign locations
  • Check Destination guests into their rooms following in-room arrival procedures and check out procedures
  • Set and inspect rooms for VIP arrivals
  • Provide solutions and ensure guests are followed up with to ensure satisfaction with maintenance or housekeeping requests
  • Handle guest complaints courteously, offer solutions and follow through everything requested by guest until there is a satisfactory conclusion
  • Monitor satisfaction and experience of Enchantment Spa Package guests
  • Balance treatments and adjust schedules for therapists in absence of a manager
  • Create and distribute Housekeeping sheet in absence of a manager
  • Troubleshoot Balance Report
  • Make adjustments to bucket check when needed
  • Be able to evaluate and prepare final guest folios
  • Handle advanced billing correction for historical folios, including package adjustments, transfer postings
  • Monitor and make adjustments to Enchantment package house accounts (Tranquility, Journey @ ER, Romance etc..)
  • Fill out and maintain turndown log
  • Work as main trainer for all new Spa Coordinators shadowing the front desk after initial preparation training by manager
  • Walk spa facilities as necessary to ensure appropriate cleanliness and guest’s needs are met
  • Ensure shipping charges are posted consistently
  • Monitor breaks of fellow staff in absence of a manager
  • Cross train to be able to train basic Spa Coordinator Reservation, Reservations, and concierge duties
  • Knows all safety and emergency procedures and accident prevention policies
  • Other duties as assigned

Supervision Received: Front Desk Supervisor

Responsibilities and Authorities:

  • Constantly communicate and coordinate with other departments
  • Support other Coordinators through open communication pathways and monitoring standards



Minimum Requirements:

  • High school education or equivalent work experience.
  • Some college preferred.
  • Prior guest relations training as a Spa Coordinator.
  • Must have strong organizational skills, excellent written and verbal communication skills and be able to perform and prioritize multiple tasks with ease.
  • Computer skills required
